Virtual Membership Meetings
Membership meetings involving elections will be held in person only.
At this time, CUPE Local 1267 does not have a system in place to securely conduct or record ballots virtually. In order to maintain the integrity and confidentiality of the election process, a virtual attendance option will not be available for meetings where elections are conducted.
Virtual Meeting Attendance Guidelines & Expectations
Please review the following instructions carefully prior to attending a CUPE Local 1267 membership meeting virtually.
- This meeting is for CUPE Local 1267 members only. Please do not share the meeting link outside the membership.
- Members attending virtually must participate from a private location and ensure that confidential union discussions cannot be overheard or viewed by non-members. Please do not join from public spaces or shared environments.
- Members must join the meeting using their full first and last name in order to be admitted from the lobby. Members joining under nicknames, initials, device names (ex. "iPhone"), or unidentified names may not be admitted.
- Virtual attendees are required to have their camera turned on for the duration of the meeting to verify attendance and membership. Members who are unable or unwilling to use their camera may not be admitted or may be removed from the meeting.
- Members will enter a virtual waiting room (lobby) upon joining and will be admitted once membership has been verified.
- Members are strongly encouraged to join the meeting at least 15 minutes prior to the scheduled start time. Admission from the lobby may take several minutes, particularly if there are large numbers attending virtually.
- To help maintain meeting order and consistency with our regular in-person meetings, the Teams chat function will be disabled during the meeting.
- Members wishing to speak or ask a question must use the Raise Hand 🖐️ feature and wait to be recognized by the Chair before speaking.
- Please keep your microphone muted unless recognized to speak.
- Only the Chair and designated meeting hosts will have screen sharing and presentation privileges.
- Members attending virtually will be counted toward quorum and attendance once admitted and verified.
- Members are expected to conduct themselves respectfully and follow the same standards of behavior and decorum that apply during in-person membership meetings.
- Members attending virtually are responsible for ensuring their own device, internet connection, microphone, and speakers are functioning properly prior to the meeting.
Basic Troubleshooting Suggestions
- Ensure Microsoft Teams is installed and updated on your device or use the web browser version.
- Restart Teams or refresh your browser if you experience connection issues.
- Check that your microphone and speakers are not muted within Teams or on your device.
- If audio is not working, try leaving and rejoining the meeting.
- A stable internet connection is recommended for virtual participation.
- The meeting will proceed as scheduled and technical support during the meeting may be limited.
